New York University Abu Dhabi seeks to appoint a Special Events Coordinator. The job-holder will assists in planning, implementing, and evaluating events in collaboration with the Associate Director, Special Events (ADSE), to ensure successful event delivery. The role will also assist to plan and implement special events that meet strategic goals of the University; conceptualize themes, present ideas, and research requests, assess feasibility, and make recommendations to ensure the implementation of successful, targeted events.
The job-holder will be expected to take the lead in working with procurement and legal teams on contracts and invoicing; create site scenarios and action plans, seating arrangements, floor plans, etc. for small and large events, and provide logistical support at events. The coordinator will also assist the Director, Community Relations, on NYUAD’s community engagement efforts.
•Provide logistical support at events, including event-sign in, and working on pre-event collateral, including name and table cards, brochures/programs, etc.
•Oversee contracts and coordinate all invoices (in collaboration with legal counsel and procurement offices)
•Creating site scenarios, action plans, floor and seating plans for smaller scale events and assist with both for larger events
•Independently manage smaller events, and assist with larger ones
•Work with ADSE and stakeholders to develop event collateral that adheres to NYUAD’s brand guidelines
•Serve as a resource to faculty, staff, and students so that they are able to produce their own events (in those cases where NYUAD’s Special Events staff are not directly coordinating logistics).
•Assist Director, Community Relations, with tasks related to NYUAD’s community engagement efforts (approximately 20% of time)
•Bachelor degree required
•Minimum of two years event coordination (or equivalent) experience
